Job Summary

HR Assistants support the Specialists in administering and executing programs for acquiring, developing, and managing talent under the direction of an HR Lead.

 

This temporary assignment is within the Total Rewads team and will provide administrative support in the implementation and management of Total Rewards programs including compensation and benefits administration and oversight of the Region’s recognition events.

Duties & Responsibilities

  • Build inclusiveness and belonging by embedding EDI principles in all employee programs and management practices.
  • Collaborate with HR colleagues to create and execute programs that enable the Strategic Plan,enhance the employee experience, and make colleagues successful.
  • Enable the Region's digital transformation, including the successful implementation of SAPSuccessFactors
  • Apply subject matter knowledge to design and develop employee lifecycle programs, including workforce planning, integrated talent and performance management, EDI, employee relations and change management.
  • Practice constant professional self-development and promote learning in others by proactively sharing information and expertise with colleagues.

 

Assignment

  • Manage multiple team mailboxes for Total Rewards, Recognition and Wellness and escalate employee inquiries as needed.
  • Prepare employment letters to reflect changes in compensation, position, benefit entitlements, etc. for both union and non-union groups.
  • Plan, coordinate, and execute the annual long service and recognition award programs and events. 
  • Manage employee benefit enrollment and changes for both Halton Region and Halton Regional Police. Coordinate with benefit providers to resolve any concerns.
  • Update booklets and forms related to benefit administration and assist in communication to employees.
  • Investigate inquiries from HR Contact Centre on compensation or benefit matters and provide necessary follow up.
  • Participate in and conduct non-union salary surveys with comparator municipalities. Analyze survey results.
  • Provide administrative support for job evaluation including rating documentation and job questionnaire development.
  • Assist with Wellness initiatives.
  • Support with job evaluation and annual performance file management.
  • Assist with special projects within Total Rewards and the Integrated Talent team.

Skills & Qualifications

People Advocacy: demonstrated commitment to supporting an organizational culture and workplace where people can belong, to facilitate open communication, navigate change and act as a steward forthe Region’s values. Possessing a growing understanding of EDI principles and best practices; and a demonstrated commitment to EDI. Experience problem solving by using strong analytical skills to research solutions to employee issues and the ability to respond to inquiries using thoughtful and polished verbal and written communication.

 

Human Resources Mastery: post-secondary education in Business Administration or similar withexposure to Human Resources, or equivalent experience.

 

Business Acumen: awareness of external trends, able to provide insights about the Strategic Plan and operational goals and support employee life cycle programs that are strategic, systematic and employee-focused. Able to develop HR skills and knowledge to provide input and recommend solutions to employees, HR Specialists and HR Leads.

 

Personal Effectiveness and Efficiency: attention to detail, demonstrated critical thinking skills, self planning and self management, time management with judgement and decision making skills. 

 

Data literacy: able to read, apply, create, translate and communicate data to support decisions.

 

Digital dexterity: experience using the M365 suite of products (Teams, SharePoint, Word, Excel,PowerPoint). Familiarity with SAP, Success Factors and any customer relationship management system would be an asset.

Working/ Employment Conditions

  • May require occasional evening or early morning work to support employee events or recognition programs.
  • Periodic lifting, moving, or transporting of event materials (up to 50 lbs) is required.
  • May involve standing or walking for extended periods during events or setup/tear-down.
  • Occasional travel between Regional sites may be necessary.
  • Requires the ability to manage multiple tasks in a fast-paced, deadline-driven environment.
