Job Summary

Reporting to the Senior Project Advisor, this role provides document and record management leadership and administrative support of databases and management system software for the Public Works integrated (quality, environmental and occupational health and safety) management system and Drinking Water Quality Management System (DWQMS).

Duties & Responsibilities

  • Develop, implement, and support PW departmental information management governance, associated standards and processes, in alignment with corporate requirements and industry best practices.
  • Provide technical and administrative expertise to support departmental information management requirements for PW management systems (e.g. Drinking Water Quality Management System - DWQMS).
  • Maintain, audit, and support the continuous improvement of PW information management system software and tools (e.g. lntelex, SuccessFactors Learning Management System) and collaborate with other departmental and corporate partners on information management initiatives.
  • Develop and support quality control processes related to documented control and data management requirements for PW management systems (e.g. DWQMS).
  • As the lntelex departmental Business Administrator, oversee workflow management, provide quality assurance and control of information for the application, including various modules (e.g. document control and corrective action).
  • Monitor, audit and report on departmental information management practices and conformance with management system requirements, including metrics on document usage and training requirements and history.
  • Monitor and report on the performance, adequacy and suitability of the PW information management system software and tools, as well as identify and lead continuous improvement initiatives.
  • Liaise with Corporate and application vendor(s) to troubleshoot system issues, as well as proactively maintain and upgrade the system.
  • Train and support application users on existing databases and management system software, as well as lead the departmental rollout of system version upgrades, new modules, and new tools.
  • Provides support to departmental and corporate partners on initiatives related to information management applications, tools, and practices, including supporting M365 SharePoint and Teams.
  • Performs other duties as required.

Skills & Qualifications

Essential

  • Diploma in information management, public administration, data governance, or a related field.
  • Minimum two (2) years' experience in document control or administration of management systems.
  • Knowledge or experience in one or more management systems, such as the Drinking Water Quality Management Standard or other environmental (ISO 14001), and occupational health and safety standards (OHSAS 18001, CSA Z1000).
  • Advanced proficiency in Microsoft Office, M365 SharePoint, databases and management system software such as lntelex.
  • Demonstrated ability to analyze and document business processes and requirements and recommend appropriate changes/improvements.
  • Excellent organization, oral and written communication, problem resolution, and interpersonal skills.
  • Equivalent combination of education and experience will be considered.

 

Preferred

  • Certification in a related field, such as AIIM Certified Information Professional (CIP), ARMA Information Governance Professional (IGP), or ICRM Certified Records Manager (CRM)
  • Experience in a municipal setting or familiarity with Public Works (PW) services.
  • Previous Project Management experience and working with SQL databases.
  • Knowledge of the legislative framework governing Public Works services and operations along with their related documentation requirements.
