Job Summary

This position provides administrative and customer service support for the Region's Advanced Metering Infrastructure (AMI) program by creating service requests, responding to customer inquiries, and supporting program compliance through proactive engagement with customers via phone, email, and mail. The position assists with appointment scheduling, processes AMI-related invoices, conducts customer outreach to collect feedback and enhance customer experience, and performs other related duties as assigned in support of AMI program objectives and organizational priorities.

Duties & Responsibilities

  • Respond to Advanced Metering Infrastructure (AMI) customer inquiries received through Access Halton by contacting customers via phone and email to provide information, support, and issue resolution.
  • Create and maintain service requests in Infor Public Sector (InforPS) to document customer inquiries, correspondence, and resolution activities.
  • Conduct outbound calls to AMI customers to schedule appointments, provide appointment reminders, and communicate program-related information.
  • Prepare and distribute customer notifications by mail regarding AMI program compliance requirements and appointment scheduling.
  • Document all customer contact attempts, communications and outcomes accurately within InforPS.
  • Coordinate appointment scheduling requests received from AMI project team members.
  • Process AMI project invoices for payment through SAP, create purchase orders as required, and coordinate approval workflows using DocuSign.
  • Collect customer feedback through telephone outreach and accurately record responses and outcomes in InforPS.
  • Generate, maintain and distribute operational and program reports.
  • Maintain accurate records and ensure timely and complete documentation of customer interactions, appointments, work activities, and project information.
  • Create, update, and close work orders as required to support AMI operations.
  • Collaborate with internal departments, project team members, contractors, and stakeholders to support the successful delivery of AMI program initiatives.
  • Adhere to applicable corporate polices, procedures and customer service standards while handling confidential customer information.
  • Perform other related duties as assigned.

Skills & Qualifications

Essential

  • Post-secondary education in Business with at least two (2) years' experience in a customer service environment and experience with water meters.
  • Experience in Municipal Water distribution/Wastewater collection operations. Proficient computer skills using standard office business solutions software. Demonstrated initiative and attention to detail.
  • Strong organizational, communication, teamwork and customer service skills.

 

Preferred

  • Previous related experience in a customer service environment.
  • Previous experience with SAP (account receivables, accounts payable, human resources) and Computerized Maintenance Management systems such as Hansen8/IPS-11 specifically; customer relations, work management and asset management modules are assets.
