Job Summary
As a Summer Student within the Engineering Management Office (EMO) in the Engineering and Construction Division, you will be assisting the Project Coordinators and Construction Ambassadors in a variety of tasks. You will gain valuable experience in project management processes, issue resolution, and construction workflows, all while working alongside a dynamic team of professionals.
Duties & Responsibilities
- Assist Project Coordinators in maintaining project schedules, tracking milestones, and ensuring deadlines are met.
- Help in the preparation of project documentation, including meeting notes, action items, and progress reports.
- Coordinate logistics for project meetings, ensuring that relevant stakeholders are invited, and meeting materials are prepared and distributed.
- Support Construction Ambassadors by logging and tracking complaints, issues, and disputes raised by stakeholders, contractors, or the public.
- Help in coordinating responses to complaints and issues, ensuring that appropriate actions are taken in a timely manner.
- Assist in conducting investigations into issues or complaints, gathering relevant information, and preparing reports or summaries.
- Ensure that all complaints or issues are documented accurately and follow up on their resolution status to ensure closure.
- Assist in preparing and sending communications (emails, letters, notices) to stakeholders regarding project updates, complaints, or resolution statuses.
- Attend project meetings and help track action items, ensuring issues are communicated and followed up on promptly.
- Support the creation of presentations, reports, and other communication materials for project meetings or external stakeholders.
- Help in developing templates, checklists, and tools to improve the efficiency of issue resolution and project coordination activities.
- Provide general administrative support to the Project Coordinators and Complaints & Issues Resolution Specialist, including scheduling meetings, managing emails, and filing documents.
- Prepare and organize project-related materials for internal and external meetings, ensuring that all relevant documents are available.
- Help with the creation and formatting of reports, memos, and other written materials.
Skills & Qualifications
- Currently enrolled in an undergraduate program in Business, Management, Engineering, Construction Management, Project Management, or a related field.
- Strong interest in engineering, construction, and project management processes.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and basic knowledge of project management software.
- Strong organizational, problem-solving, and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Ability to work effectively in a team and manage multiple priorities.
- A proactive and solution-oriented attitude, especially in resolving issues and complaints.
- Detail-oriented with the ability to track and manage a variety of tasks and issues.
