Job Summary
The Project Support Supervisor plays a critical role in the successful delivery of Capital Projects by leading and managing the Project Coordinator and Construction Ambassador teams. With a strong emphasis on accountability, this position ensures the effective delivery of project administration and communication services, while also overseeing timely responses to construction-related inquiries and complaints. This role is key to maintaining exceptional customer service and optimizing operational efficiency.
Duties & Responsibilities
- Lead a team of professionals specializing in communications, complaints resolution, and project administration, providing guidance, mentorship, and performance feedback.
- Support team development through training and professional growth opportunities, fostering adaptability and high performance.
- Set clear expectations, monitor progress, and ensure timely, high-quality project deliverables.
- Make informed, data-driven decisions while managing competing priorities and adjusting to shifting timelines.
- Evaluate and resolve client and community complaints, determining appropriate actions, escalation, or cross-department collaboration as needed.
- Communicate effectively with stakeholders, selecting the appropriate tone, method, and follow-up approach for sensitive or complex issues.
- Assess the urgency and impact of issues to determine if escalation to senior leadership is required.
- Balance customer satisfaction, project timelines, team capacity, and resource availability to support efficient service delivery.
- Mediate conflicts between stakeholders and project teams, promoting collaboration and smooth project execution.
- Maintain strong internal relationships by proactively addressing concerns and ensuring client expectations are met.
- Encourage open, transparent communication within the team to support alignment and collaboration.
- Ensure all support activities comply with Regional By-laws, policies, and internal procedures, identifying and mitigating potential risks.
- Collaborate with senior leadership to align team objectives and deliverables with broader organizational goals.
Skills & Qualifications
- University degree in Engineering / Business Administration or a related field.
- Minimum of three (3) years of experience in a supervisory or leadership role, preferably within a project support or administrative environment.
- Strong verbal and written communication skills for effective interaction with team members, stakeholders, and senior leadership.
- Demonstrated leadership abilities with a proven ability to build and motivate high-performing teams.
- Effective negotiation and conflict resolution skills.
- Strong analytical and critical thinking abilities to evaluate challenges and develop practical, data-driven solutions.
- Excellent time management and organizational skills to manage multiple priorities and ensure timely project delivery.
- Proven ability to build and maintain positive relationships with internal and external stakeholders.
Working/ Employment Conditions
- Travel will be required. Incumbent must provide their own transportation and a copy of their driver's license prior to their first day of employment.
- Flexibility to work outside of core business hours including evenings, weekends and holidays (occasionally) is required.
