Job Summary

Reporting to the Deputy Chief/Manager, Program Development and Quality Improvement, this position provides administrative support to enable community paramedics to provide services to residents in the community.

Duties & Responsibilities

  • Provide administrative support and coordination to the Community Paramedicine for Long-Term Care program.
  • Manage incoming referrals received from various sources.
  • Screen clients for eligibility, create and manage client profiles and book onboarding.
  • Maintain, monitor and provide updates on client status.
  • Enter information accurately and efficiently into databases.
  • Organize and manage various documents and files from multiple sources.
  • Compile data from multiple sources to prepare various reports and statistical reports for internal parties and the Ministry of Long-Term Care.
  • Distribution, collection, uploading and reporting for client surveys.
  • Gather data to submit for remote patient monitoring program monthly invoices.
  • Order program supplies and prepare meeting agendas and minutes.
  • Arrange maintenance and repairs for program vehicles.
  • Function as part of administrative team by providing support and back up as required.
  • Assist with organization of annual Community Paramedic vaccine clinics, as well as coordinating and scheduling community vaccinations for homebound residents.
  • Perform other duties as assigned.

Skills & Qualifications

  • Post-secondary education in office administration or equivalent.
  • At least three (3) years of administrative experience.
  • Experience working in a medical administrative role with strong knowledge of the healthcare system.
  • Advanced computer skills with excellent knowledge of Microsoft Office including Teams, Excel, Word, Outlook, and Adobe.
  • Strong communication skills (both oral and written), along with interpersonal skills, and excellent customer service skills particularly with the older adult population.
  • Excellent administrative and organizational skills, the ability to plan, prioritize, multi-task and meet deadlines.
  • Experience in minute taking and computer databases.
  • An equivalent combination of education and experience or demonstrated knowledge and experience will be accepted.
