Job Summary

Reporting to the Manager, Shared Services, the Nutrition Services Data Coordinator is responsible for managing the CBORD Database by completing data entry and clean-up tasks for ingredients, allergens, recipes and menus, therapeutic menus and nutritional analysis reporting.  CBORD invoice receiving, facilitating invoice payment processing and monitoring status of aging payables are also key requirements of this position.

Duties & Responsibilities

  • Understand and apply the menu planning requirements under the Fixing Long Term Care Act S.O. 2021.
  • Understand and apply the Dietary Reference Intakes (DRIs) for Canadians.
  • Update and maintain purchasing, stock and nutritional data for all purchased products and food items/ingredients.
  • Support the Menu Planning Project Team with CBORD database tasks.
  • Generate and review nutritional analysis reports and identify required corrections.
  • Audit CBORD data base for accuracy of nutritional information of items/recipes to ensure alignment with the Canadian Nutrient File and the Dietary Reference Intakes (DRIs).
  • Generate and review therapeutic menus and cross-reference them against guidelines for texture-modified and therapeutic diets.
  • Liaise regularly with food manufacturers/vendors/distributors to ensure up to date nutritional data is secure and entered in CBORD.
  • Assist with the development of daily posting menus, weekly posting menus and therapeutic menus for posting.
  • Generate and review all nutritional reporting for the Registered Dietitians to facilitate their review and approval of seasonal menus.
  • Generate and update snack rotation sheets and temperature records.
  • Research new food products and recipes to enhance seasonal menus using an inclusive and cultural lens.
  • Support the Nutrition Services team in all homes with invoice processing.
  • Generate and review CBORD Purchase Order reports to identify those that are outstanding and troubleshoot with the applicable Nutrition Services Supervisor(s).
  • Receive CBORD invoices against purchase orders.
  • Identify any discrepancies in invoice value and follows-up with the vendor, the Nutrition Services Supervisor or the Food Service Coordinator.
  • Troubleshoot with Digital Services and/or Accounts Payable/Finance on discrepancies between CBORD and SAP.
  • Process all invoices for payment utilizing DocuSign or other applicable process.
  • Review account statements for each vendor, identifying any outstanding invoices and work with the Nutrition Services Supervisor and/or Accounts Payable to ensure timely resolution.
  • Identify gaps in business processes, focused on continuous improvement and propose appropriate changes.
  • Update and maintain inventory labelling system to ensure capacity to sort and label menu items according to diet type and texture.
  • Participate in the review and development of Nutrition Services related policies and procedures.
  • Conduct training for Nutrition Services staff on topics related to menus, therapeutic menus, mobile inventory and the inventory labelling system and develop resources to facilitate learning.
  • Participate actively as a member of the Nutrition Services Functional Group.
  • Participate actively as a member of the seasonal Menu Planning Committee.
  • Participate in CBORD software activities such as upgrades and script testing.
  • Identify limitations and attributes of the CBORD software and liaise with the vendor in a coordinated effort to improve uptake and utilization.

Skills & Qualifications

Essential

  • Degree/diploma in Nutrition and/or Health Sciences.
  • Minimum of 2 years’ experience working with nutritional software and maintaining its database.
  • Knowledge of general accounting principles to facilitate invoice processing and minimizing aging payables.
  • A thorough knowledge of the FLTCA S.O. 2021, menu planning principles in long term care and application of the Canadian Nutrient File and Dietary Reference Intakes.

Preferred

  • Project Management skills such as current/future state process mapping, value stream mapping and waste identification.
