Job Summary
Reporting to the Tenant Services Advisor, the Tenant Services Coordinator will be the first point of contact for tenancy management issues within the designated Halton Community Housing Corporation (HCHC) portfolio.
Duties & Responsibilities
- Respond to internal and external enquiries in a manner that will build supportive and healthy communities.
- Manage various responsibilities associated with tenant units including: unit showings, key releases, unit turnovers, inspections (pre/post move), completion of work (in partnership with Energy, Fleet and Facilities staff), notice distribution, building meetings, billing non-residential invoices, parking management, utility invoices and laundry cards.
- Assist the Tenant Services Advisor (TSA) in lease management to prevent evictions enforcement by being the first point of contact with tenants.
- Process all vacancies, reviews timelines on the vacancies and maintains constant communication with TSA and other staff as required.
- Assist TSA in rent collection and arrears management for all outstanding accounts for current tenants as required.
- Work collaboratively with the Tenant and Community Supports Specialist (TCS), refers social concerns/issues (including service co-ordination cases) to TCS and/or TSA including critical incidents (death/injury).
- Process tenant charge backs as required, including compilation of charges and batching for accounts receivable purposes and prepares related correspondence accordingly.
- Collaborate with the TSA to respond and address risk management issues including working with third party organizations (Insurance Companies).
- Prepare and analyze accounts receivable reports, monthly tenant reports, and financial batches.
- Maintain communication and awareness with various service agencies within HCHC housing communities.
- Maintain tenant data in YARDI Voyager.
- Work with the TSA to collect and report metrics, research and analysis accordingly.
- Perform other duties as assigned.
Skills & Qualifications
- Post-secondary education in Social Services.
- Minimum of three (3) years of experience in social housing and property management.
- In-depth knowledge of social housing policies and procedures, legislation that includes the Housing Services Act, Residential Tenancies Act, Condominium Act, and Municipal Freedom of Information and Protection of Privacy Act, and knowledge of the rent-geared-to-income program and eligibility rules.
- Excellent customer service skills and knowledge of social support agencies, in order to provide assistance to tenants on behalf of Halton Region. Strong communication skills, problem solving and judgement skills are needed to effectively assist a diverse and vulnerable tenant population.
- Excellent interpersonal skills with a proven ability to work with a variety of community professionals and human service agencies.
- Strong administrative, organizational and time management skills to balance priorities and administrative functions of the position.
- Excellent knowledge of accounts receivable and accounts payable principles and procedures.
- Strong computer skills in YARDI Voyager with working knowledge of SAP.
- An equivalent combination of education and experience will be considered.

- Travel will be required to different sites throughout Halton Region’s four municipalities (Oakville, Burlington, Milton, and Halton Hills) which may involve dealing with inclement weather.
