Job Summary

Reporting to the HR Lead, the HR Assistant will partner with Specialists to implement and administer key learning programs. As part of the Training & Development team, this temporary role will focus on providing administrative support for the planning, coordination, and delivery of training programs and events. 

Duties & Responsibilities

  • Promote equity, diversity, and inclusion by integrating EDI principles into all employee learning initiatives, materials, and practices to foster a sense of belonging across the organization.
  • Manage the learning inbox, responding promptly to training-related inquiries and providing clear guidance to employees and leaders.
  • Support the onboarding program by coordinating sessions, updating materials, and ensuring new hires complete required training.
  • Support the development of e-learning content by formatting materials, proofreading modules, and coordinating testing before launch.
  • Maintain an organized training calendar, ensuring accurate scheduling and communication of upcoming learning opportunities.
  • Maintain the training budget tracker and coordinate the processing of invoices, ensuring accuracy and timely submission.
  • Administer the Learning Management System (SuccessFactors – Learning), including course registration, tracking training completion, running reports, maintaining learning records, and managing surveys to ensure accurate and up-to-date program data.
  • Coordinate end-to-end training logistics, such as scheduling sessions, booking rooms, arranging audio/visual equipment, and preparing training materials, certificates, and attendance sheets.
  • Support learner communication by distributing pre-work, sending reminders, and ensuring completion of post-course evaluations to support continuous improvement.
  • Perform additional administrative or project-related tasks in support of Training & Development initiatives.

Skills & Qualifications

People Advocacy:demonstrated commitment to supporting an organizational culture and workplace where people can belong, to facilitate open communication, navigate change and act as a steward for the Region’s values. Possessing a growing understanding of EDI principles and best practices; and a demonstrated commitment to EDI. Experience problem solving by using strong analytical skills to research solutions to employee issues and the ability to respond to inquiries using thoughtful and polished verbal and written communication.

 

Human Resources Mastery: post-secondary education in Business Administration or similar with exposure to Human Resources, or equivalent experience. 

 

Business Acumen: awareness of external trends, able to provide insights about the Strategic Plan and operational goals and support employee lifecycle programs that are strategic, systematic and employee-focused. Able to develop HR skills and knowledge to provide input and recommend solutions to employees, HR Specialists and HR Leads.

 

Data literacy: able to read, apply, create, translate and communicate data to support decisions.

 

Digital dexterity: experience using the M365 suite of products (Teams, SharePoint, Word, Excel, PowerPoint).  Familiarity with SAP, Success Factors and any customer relationship management system would be an asset.
