Job Summary

Reporting to the Manager of Integrated Management Systems and Quality Assurance this position is responsible for supporting the administrative, procurement and data management activities of the Regional Laboratory, Industrial Waste, Cross Connection and Compliance program areas.

Duties & Responsibilities

  • Provide data entry and data management support.
  • Utilize databases to provide status updates and trend reporting on various compliance activities and programs.
  • Prepare and review data summaries in tables, presentations and report formats. 
  • Reconcile monthly purchasing card activity.
  • Open purchase orders under $10,000 and assist with e-bid purchasing approvals.
  • Liaise with Finance and Accounts Payable regarding payment of invoices.
  • Goods receipting invoices utilizing SAP.
  • Track invoices, purchase requisitions and payments.
  • Provide monthly data and financial reports on procurement activities and operating budgets.  Assist with variance reporting.
  • Track and maintain customer service logs and related information.
  • Maintain afterhours on-call standby lists and administer COMPASS.
  • Assist in the maintenance of controlled documents and records.
  • Create and update process flow mapping for a variety of work flows.
  • Provide day-to-day administrative support to Integrated Management Systems & Quality Assurance.
  • Perform other duties as assigned.

Skills & Qualifications

  • Diploma in office administration from a recognized college 
  • Minimum three (3) years of progressive responsibilities related to data management and finances.
  • Ability to work in a team environment, excellent customer service skills and strong organizational and time management skills.
  • Computer proficiency, including advanced knowledge of MS Office with an emphasis on Excel, Docusign and SAP.
  • Possess strong analytical skills to manage, validate and analyze information from databases.
  • An equivalent combination of education and experience will be considered.
  • Working knowledge of MS Word, Visio, SharePoint, and Adobe
  • Knowledge of customer and/or work order management systems such as Salesforce and Infor.
  • Knowledge of document management software systems such as Intelex.
  • Knowledge of HR management systems such as SAP Successfactors

  • Travel between locations within Halton Region will be necessary.  Incumbent must supply own transportation.
