Job Summary

This position is responsible for the accurate and efficient scheduling of staff for our long-term care home.

Duties & Responsibilities

  • Assist with new staff orientation by conducting tours/entering into punch clock/door code assignment and other associated duties.
  • Manages health card renewals, reporting admissions and discharges to the Ministry, maintaining accurate records.
  • Filing of residents active clinical records and thinning of resident’s charts as per assigned schedule Manages and maintains the archiving of records in accordance with relevant policies and legislation of discharge residents.
  • Maintain filing form systems on each home area ensuring units are equipped with necessary forms, including various inspection checklist and resident labels. 
  • Schedules and maintains record of six week, annual and Ad hoc Care Conferences and communicates to the Resident/SDM, Interdisciplinary team and Physicians.
  • Orders, receives and delivers nursing supplies to all home areas on a regular schedule. 
  • Provides clerical support to nursing department and physicians as required.
  • Maintains an accurate inventory of nursing equipment for all home areas. 
  • Maintain and tidy nursing storage, pharmacy room and other areas on the RHAs as required.
  • Assist with managing, booking and scheduling of in-services as assigned, including developing posters and assembly of in-service materials. 
  • Ensures accurate and timely data entry into various systems, Microsoft word, excel spreadsheets.
  • Participates in continuous quality control activities as required and audits.
  • Performs other duties as assigned.

Skills & Qualifications

Essential

  • Secondary School diploma with advanced knowledge and demonstrated experience in using office/business software such as Microsoft Office software with intermediate to advanced skills in Word, Excel, PowerPoint and Outlook .
  • Excellent organizational skills, communication and analytical skills combined with strong interpersonal skills.
  • The ability to be flexible and work within a team setting as well as independently are also essential.

 

Preferred

  • Post-secondary diploma in office administration.

  • Current (obtained within the past six (6) months), original and acceptable Criminal Records Check with Vulnerable Sector Screen, by the first day of employment.
  • Current two-step tuberculosis test (obtained within the past six (6) months) by the first day of employment.
